Full time (40 hours/week)

5.6 weeks annual leave + non-contractual 2 weeks at Christmas + shorter hours during student breaks

Overview

Reporting to the Head of School, the Senior Executive Assistant will be responsible for providing an efficient and effective running of the Head’s office. They have a global vision of the business of the school attending all board and sub-committee meetings to take minutes. They are entrusted with delegated responsibility across a wide range of areas and responsible for regularly liaising with all members of the school community.

The Senior Executive Assistant will liaise with and supervise the Primary and Secondary office Assistants of the school.

Key Responsibilities 

  • Act as first line contact for the Head of School
  • Assist the Head of School in maintaining a smooth-running and efficient office by dealing with all administrative functions and anticipating and scheduling regular events and meetings
  • Manage the Head’s diary and appointments
  • Take the minutes for all of the Board and sub-committee meetings
  • Communicate and produce information to members of the academic and support staff as appropriate
  • Organise the logistics and communications of certain groups’ visits (AEFE, CIS, ISI,etc)
  • Be responsible for the general communication at school-wide level
  • Support with the school website, particularly the Board Portal
  • Undertake any ad-hoc duties as requested by the Head
  • Demonstrate professional flexibility (flexible hours).

What we are looking for

  • Bilingual English/French
  • Able to respect utmost confidentiality regarding all information relating to this post
  • Experience of managing extensive and diverse workload
  • Confident communicator, with excellent written and verbal communication skills in both languages
  • Organised, with an ability to self-plan and prioritise workloads, along with planning work schedules for others
  • Able to work alongside all members of staff with the ability to show tact, diplomacy and professionalism at all times
  • Ability to touch type
  • High level of IT skills including Word and Excel. Knowledge of Google Docs preferable
  • Ideally training as a clerk.
