Overview

The Facilities & Premises manager is responsible for supporting the COO in the effective day-to-day running of the School. He/She takes the lead management role on all Facilities and Premises issues encompassing Cleaning and Health and Safety (H&S) management. Experience of Security is desirable. He/She ensures that Health and Safety legislative compliance relating to people (staff, students and visitors) and property are met.

Key Responsibilities and Accountabilities 

  • Lead and manage the Premises team to deliver a safe and effective service for the students and staff;
  • Oversee the external cleaning contractor, planning the annual cleaning programme, day to day and event cleaning;
  • Ensure that effective systems are in place for site security and safety;
  • Act as the principal point of contact for contractual issues for premises related contracts including site maintenance, plant maintenance, fire, intruder, CCTV and door access systems;
  • Manage the annual operating budgets for all ‘premises‘ budget codes e.g. furniture, utilities, security, grounds maintenance etc.
  • Ensure that all policies and procedures related to H&S are relevant, complied with and regularly reviewed;
  • Ensure that the school buildings meet H&S standards and that facilities comply with central and local government legislation;
  • Provide advice and guidance to managers and staff on H&S matters;
  • Prepare H&S information for the Finance and H&S Board committees;
  • Play the lead role in fire evacuation duties;
  • Oversee the critical incident and disaster recovery plan, ensuring that the School administration could recover its working efficiency promptly in case of an emergency;
  • Act as project leader/coordinator for all capital building and grounds works;
  • Act as the School representative at any premises contractor meetings and report back as necessary;
  • Prepare report information for the senior leadership team to make recommendations, or seek approval for any proposed building or refurbishment projects;
  • Undertake specific related-projects which could include:

- forward planning exercises 

- Investigations into energy saving and efficiency measures

- improved service delivery options

- budgetary savings and value-for-money exercises

  • Any ad-hoc tasks requested by management.

Education & Experience Required 

  • Ideally speaks English and French
  • 3 years experience on a school site
  • Willingness and interest to remain hands on
  • Leadership Skills including managing performance, conflict management
  • Experience in negotiating and working with suppliers
  • Strong problem solving skills
  • Ability to work in a team environment
  • Ability to quickly establish good working relationships
  • Ability to work on own initiative, prioritise work, handle pressure and meet deadlines

Desirable Experience/qualifications 

  • NEBOSH
  • Experience of leading on security: 

-Manage the external Security team, taking responsibility for the rotas, cover and their training and management on site with the aid of a security supervisor;

-Investigate any breaches of physical security. Recommend ways of making improvements and act as an adviser to senior management on security issues.
